Less than one day before attendees arrived, the original coffee vendor was no longer available. The event team needed a replacement that could move quickly without making the service feel improvised. New Life Coffee Company received the call only 18 hours before the conference began.

The event was the Google Cloud Cyber Defense Summit, a two-day gathering for security professionals held September 15–16, 2026. The venue was the Ronald Reagan Building and International Trade Center at 1300 Pennsylvania Avenue NW in downtown Washington, DC.

Our job was straightforward to describe and demanding to execute: create a polished, dependable conference coffee service on an accelerated timeline, operate for 17 total service hours over two days, and be ready for a conference audience of 600 people.

The coffee station served a conference audience of 600 people. Across both days, the team sustained service for 17 hours while adapting to the natural waves of conference traffic around arrivals, sessions, networking periods and breaks.

Most importantly, the planner did not have to scale back the attendee experience after the original vendor fell through. A problem discovered 18 hours before the start became a fully operating coffee service when the doors opened.
