What to Consider Before Booking a Coffee Cart
Booking vendors can be stressful, especially when there is a lot on the line for you or your company. Whether it be a big promotional event, wedding, or a unique family gathering, you’re booking a vendor to help make the day special and take a responsibility off your plate. Before booking with a vendor, you want to make sure they are reputable, professional, and able to do the task to the proficiency level you’re desiring. After all, if they don’t complete the job well, it’s often you who gets the blame for hiring them!
Here are a few things to consider before hiring a coffee cart to serve at your next big event.
Are They Reputable?
What are their reviews like (check Google, Yelp, or wherever else they are)? How long have they been in business? What level of professionalism do they bring to their events? You don’t want to have some sketchy vendor show up and taint your event with a less-than-stellar appearance and vibe.
Are They Reliable?
How fast were they to respond to your inquiry, and do they answer the phone? You want to make sure they know everything about your event and have all the details ironed out before the big day!
Are They a Good Value?
Instead of focusing solely on the cheapest price, consider what you’re getting for the listed price. Some coffee carts can serve fewer drinks per hour, which is why their prices are cheaper. Some carts have a bigger menu and more robust options, making their prices a little higher. Not all carts are of the same caliber of service, either. Owners sometimes operate a coffee cart as a side hustle, which means they aren’t able to be as attentive to their clients, while others have made it their full-time gig and respond to clients' needs immediately.
What is Their Menu Like?
Do they include multiple flavors? Are there any non-coffee options? Are alternative milks included in the overall price? These are important questions to ask.
Do They Offer Customizations?
For brand launches, store openings, and high-end weddings, you might consider adding in customizations to your service. It’s not just about coffee, it’s about branding and PR. Some coffee carts can brand their cart with your logo, their cups with custom stickers, add a latte art printer, and more!
Are They Able to Handle the Size of Your Event in the Event Timeframe?
One coffee cart cannot serve 200 drinks an hour. Not every coffee cart business has multiple carts to set up for your event, either. Consider how many guests you’re going to have, and either hire the cart for long enough of a time so they can serve all your guests, or consider that not everyone will want coffee. New Life Coffee Company has had requests for 1 or 2-hour events that had 800 people, way too many guests with too little time, even for multiple coffee carts!
